The Automated Annual Verification of Member Renewal (AAVR)

What is the AAVR?

The AAVR is an automated service to assist employers in quickly checking the renewal/registration status of the nurses they employ. It offers a more efficient alternative than manually checking each nurse's Annual Payment Card (APC) or checking registration status by phone. The AAVR was developed for organizations that employ a large number of nurses. Smaller organizations can use the service or may prefer to telephone the College to confirm the registration status of nurses.

How does it work?

Using a spreadsheet, the employer provides the name, registration number and category (RN or RPN) of each nurse. CNO uses this information to confirm that each nurse is registered to practice in Ontario. CNO will also inform employers of nurses who have had their registration suspended or revoked, or have terms, limits or conditions on their registration. Only information from the public register is provided. Employers will not receive confidential information about their nurse employees. This service is available throughout the year, but is offered as a standard service in early February and in May around the suspension of membership deadline.

What are the benefits?

  • Increased efficiency and time saving. Employers can confirm the registration status of their nurse employees in one easy step, rather than having to check each APC or telephone the College.
  • Focused employee follow-up. Managers follow up with only those nurses who have registration issues such as suspension, revocation or terms, limits or conditions.
  • Improved risk management. Managers know who is registered to practice and who has had their registration suspended, revoked or had terms, limits or conditions put on their registration and can schedule staff appropriately.
  • Enhanced employer-employee relationships. In some cases, managers can work with nurses to resolve registration issues that have been identified, such as suspension for non-payment of the annual fee.
  • Public protection. Managers can quickly identify nurses who have been suspended or revoked, or individuals who are nurse impostors.

What do I have to do?

To ensure that the AAVR system is efficient and accurate, each employer is paired with a CNO staff person who will guide the employer through the process.

Employers are provided with a spreadsheet on a diskette. Using the spreadsheet, employers provide the name, registration number and category (RN or RPN) for each nurse they employ.

Once all the information has been entered on the spreadsheet, the employer returns the diskette by courier.

What are the costs involved?

The AAVR service cost per run is $250 plus 35 cents per nurse and GST. For example, for 150 nurses, the service costs $317.63. ($250 + $52.50 + GST = $317.63)
